What is an AI Chatbot?
An AI chatbot is a conversational assistant on your website or messaging channel that understands questions written in ordinary language and responds with a relevant answer.
It is worth separating it from what came before, because the older kind gave chatbots a bad reputation:
- Rule-based chatbots follow a fixed decision tree. You press one of four buttons and get one of four scripted answers. Ask anything the designer did not anticipate and it fails.
- AI chatbots interpret what was actually asked, including messages phrased unexpectedly, written in Hinglish, or containing three questions at once, and answer from your material.
The important design decision is where the answers come from. A chatbot that answers from a general model will produce confident, fluent and occasionally invented information about your business. One that answers from your own approved content will not — and when it has nothing relevant, it should say so and offer a person.
Chatbot or agent?
A chatbot converses: answers, captures details, hands over. An AI agent also takes actions in your systems — creating records, checking availability, triggering workflows.
Most businesses should start with a chatbot. It is simpler, cheaper, carries less risk, and it proves the answer quality before anything is allowed to act. Adding agent capability later is straightforward once the conversation layer is trusted.

Knowledge-Based Answers
Answer quality is almost entirely a function of the material the chatbot is given. This is the part of the project that decides whether it is useful or embarrassing.
How we approach it:
- Collect the real material. Service pages, price lists, package inclusions, policies, brochures, terms, and the answers your team already types out every week.
- Clean and reconcile it. Most businesses have contradictions across documents — an old price list, a superseded policy. These have to be resolved before the chatbot inherits them.
- Ground the answers. The chatbot retrieves the relevant passage and answers from it, rather than generating from general knowledge.
- Configure honest failure. When nothing relevant exists, the chatbot says it does not have that information and offers a person. This behaviour is tested explicitly.
- Keep it current. When prices, packages or policies change, the source material is updated. A chatbot quoting last season's rates is worse than no chatbot.
The gap-finding side effect
Preparing content for a chatbot reliably exposes things your business has never actually written down: what happens if a booking is cancelled, whether a price includes taxes, what your minimum order is, which areas you will travel to.
Those gaps were already costing you enquiries — visitors were leaving your website with the same unanswered question. Documenting them improves the chatbot, the website and, in our experience, the search and AI visibility of the pages too, because clear factual answers are exactly what both people and generative engines are looking for.

The measure of a good chatbot is not how much it handles. It is how well it behaves at the boundary of what it should handle.

Test properly

Launch and review
Live with log review in the first weeks. Weak answers are fixed in the source material, prompts are tightened, and the scope is widened only once the core is reliable.
AI chatbot FAQs
How is an AI chatbot different from a rule-based chatbot?
A rule-based chatbot follows a fixed decision tree — you choose from set options and receive scripted replies. It is predictable, but it fails the moment someone asks something the designer did not anticipate, which is most of the time.
An AI chatbot interprets the actual question, including unusual phrasing, mixed Hindi and English, and several questions in one message. Ours answer from your approved material rather than from general knowledge, which is what keeps the flexibility without the invention.
Will the chatbot give wrong information about my business?
That is the main risk and the main thing the build guards against. Answers are grounded in your own content, so the chatbot is retrieving from your price list and policies rather than generating from general knowledge. When nothing relevant is found, it is configured to say so and offer a person.
We test this deliberately before launch — including questions we know are not covered — and review logs after launch. Where an answer is weak, the fix is usually to improve the source content, which benefits your website too.
How much does an AI chatbot cost?
Three separate costs. A one-off build fee driven mainly by how much knowledge preparation is needed — if your content is already clear and current, the project is much smaller. Ongoing usage costs for AI model usage and hosting, which scale with conversation volume and are billed to accounts in your name. And optional ongoing tuning.
A chatbot answering common questions on a small business website is a modest project. One covering a large product catalogue with many policies is not. We scope after seeing your material.
Can the chatbot handle Hindi and Hinglish?
Yes. Modern language models handle Hindi and mixed Hindi-English messages reasonably well, which matters because that is how a great many Indian customers actually type.
We test in the specific languages your customers use rather than assuming, and quality is strongest where your source material supports the answer. If your documentation only exists in English but customers ask in Hindi about technical specifics, we will look at whether key content needs a Hindi version.
Where does the chatbot send enquiries?
Wherever your team actually works, which is the point. Common destinations are WhatsApp, an email inbox, a Google Sheet, a CRM, or a combination. The conversation transcript goes with it, so whoever picks it up has context.

Will a chatbot annoy my website visitors?
It will if it is configured badly — a pop-up two seconds after arrival, an aggressive greeting, no visible way to reach a person. That is a design choice, not an inevitability.
We keep the entry unobtrusive, make dismissal easy, keep the human route visible, and set greetings that are relevant to the page being read. If analytics suggest a page performs better without it, we will say so.
How long does it take to build a chatbot?
Typically a few weeks, and the build itself is rarely the constraint. Preparing the knowledge base is: collecting current price lists, policies and service details, and resolving the contradictions between them.
Businesses with well-organised, current documentation launch quickly. Businesses whose information lives in the heads of three people take longer, because we have to write it down first — which is worth doing regardless of the chatbot.
Can it work on WhatsApp as well as my website?
Yes, and for many Indian businesses WhatsApp is where the majority of enquiries arrive. The same knowledge base can serve both channels so answers stay consistent.
WhatsApp has its own rules: opt-in requirements, approved templates for business-initiated messages outside the customer service window, and restrictions on bulk unsolicited messaging. We build within those, and we will tell you when a request falls outside them rather than risk your number being restricted.
Do I need to update the chatbot over time?
Yes, and it is a small ongoing task rather than a project. When prices, packages, policies or services change, the source material needs updating — otherwise the chatbot confidently quotes last season's rates.
We hand over a simple process for keeping the content current, and reviewing conversation logs monthly is worth the time on its own: it shows precisely what customers are asking that your website does not answer.
Do you replace the chatbot already on my site?
Not necessarily. If your existing widget works and your team likes it, the question is usually whether its answers can be grounded in your content and whether the handover works properly. Sometimes the sensible fix is improving what you have.
Where the existing tool is rule-based, cannot be grounded, or traps visitors with no route to a human, replacing it is the better option. We will look at what you have and give you a straight recommendation, including the option of leaving it alone.
